Projectoree 2004
Newsletter #1, 12/4/2003

Greetings to All.

Scoutmasters: If interested, you Must Respond by No Later Than COB Sunday, January 4th. THIS IS A FIRM DATE!

This is the formal solicitation of interest for the Spring 2004 Projectoree - the Tenth Anniversary Projectoree! At present, we are planning on holding one Projectoree, on Friday - Sunday, April 30th - May 2nd, 2004, at Camp Wilson (Pohick Bay Regional Park). There are currently no plans to hold a second Projectoree this year.

Note that this date is a direct conflict with this year's Scouting on the Ellipse Show (Saturday, May 1st). The Projectoree is being held on its normally scheduled date - the Scouting on the Mall (Ellipse) Show was moved up two weeks from its usual date of Mother's Day Saturday (May 15th) to avoid conflicts with WWII Memorial activities planned on that same day. Although I suppose some of the larger Units could send contingents to both, realistically this is an either/or situation.

Regardless, the Projectoree is first come/first serve for the first 30 Patrols who submit deposits. Patrols MUST HAVE A MINIMUM OF SIX SCOUTS, and a maximum of ten Scouts; remember your expected new Scouts (now Webelos II's) in your Patrol totals, but also remember that your Senior Scouts will be needed to run events, and therefore should NOT be included in your Patrol totals. A short waiting list will be created (maximum 3 Patrols) if more than 30 Patrols apply, because we usually have about a 10 percent attrition rate by the date of the Projectoree.

The deposit is $50. per Patrol, AND IS NON-REFUNDABLE. Also Note, FORFEITED PATROL DEPOSITS WILL NOT BE CREDITED TOWARDS A TROOP'S REMAINING FEES. The intent is to avoid frivolous signups which will cause late registering Troops to be unnecessarily excluded (as has happened at past Projectorees). Please sign up only for the number of Patrols that you KNOW you will have.

Deposit checks must be made out to "Troop 111" and mailed to Dr. Bob (email me for the address).

The memo line of your check should include your Troop # if it's not in the header, and also "Proj. 2004 Deposit."

Please also send me an email AFTER you have mailed your deposit check, so I have a fail-safe "checking" mechanism to compensate for letters lost or delayed by the Post Office. The following information must be included in your confirmational email:

Troop #
# of Patrols
Scoutmaster's Name
email address
Projectoree Contact Person's Name*
email address*
Date your Deposit Check was mailed

[* If different from the Scoutmaster]

For your consideration, the basic registration fee for this year's Projectoree is $6. Basic Registration and T-Shirt will therefore be $14, and Basic Registration, T-Shirt, and Staff Food will be $22.

Again, I MUST HAVE your selection by COB Sunday, January 4th. This is because Camp Wilson will sell out within an hour or two on Monday, January 5th, and I have to have solid numbers in order to make proper reservations. If I have not heard from you by COB 1/4/04, I will assume that your Troop has declined your invitation.

As always, I recommend each Unit form a Projectoree subcommittee to ensure that no deadlines or meetings are (fatally) missed. A number of Units have missed out on previous year's Projectoree because everyone in those Units assumed someone else was handling reservations and meetings.

Projectoree Newsletters will be sent only to select members of the District Staff and to the members of those Troops who have submitted deposits. Only brief notes will be reported in Chainemail. There will be 2 Organizational Meetings, both mandatory, both on Sunday nights, TBA.

Five Months to Go!
