Chain Bridge Projectoree 99
Newsletter #12 - 5/4/99

Greetings to All.

Issues requiring your attention and/or action:

1) As has been previously detailed, the Projectoree will reimburse any and all expenses for "consumables;" e.g., eggs for egg toss or obstacle course, straw for obstacle course, compressed air for air horns, staff food, etc. In addition, expenses for non-consumables needed for games; e.g., cinder blocks, boards, rope, etc., will also be reimbursed providing they become the permanent property of the Projectoree. In the latter case, it is expected that they will be stored at my house or by the requesting Troop, and will be made available to any Projectoree Troop upon request.

In order to not drag the Projectoree accounts out for an indeterminate time, any requests for reimbursement must be made by SUNDAY, MAY 16TH. Requests must be accompanied by receipts, detailing what they were for and the name, address and phone number of the requesting individual. If your receipt is not submitted by the deadline, it will be assumed that you are donating the value of any item(s) you purchased for the Projectorees.

Negative responses (by email) would be appreciated.

2) In a related issue, we (the collective we) will need to make a decision on the fate of the Projectoree surplus - IF ANY. "Collective" in this case means majority rules. Options are (A) Return to the Troops on a pro-rated basis; (B) Keep in the Troop 111 Treasury against future Projectoree expenses; or (C) Give to the District (Council) as a good-will gesture. The 1998 North Arlington Projectoree ran a surplus of approximately $120 on a $3,000 budget; this was kept as "seed money" in the Troop 111 Treasury for use this year; i.e., Option B.

Each Scoutmaster should send an email to me indicating his Troop's "vote" on the above three options. No response by Sunday, May 16th, means you have forfeited your Troop's opportunity for input.

3) At least one Troop's total bill was less than the deposit (i.e., $100); this Troop (and any others in the same category) will receive a rebate of the difference between their actual cost and the deposit.

4) The reconciled and twice-audited accounts of the combined Projectorees will be published in a future Chainemail; the accounts will be reconciled by myself and will be audited by the Troop 111 Treasurer, and independently by an Assistant Scoutmaster from Troop 647. Anyone else desiring to conduct their own independent audit are welcome to do so at that time.

5) Lost and Found Summary; the following three items were recovered:

* A small gray sweatshirt with a seagull logo and "San Francisco" in stylized script on the front. This item was small enough that it may have belonged to a Webelos Scout.
* A charcoal gray cloth stuff sack, about 18 inches wide by 36 inches high, no design. Appears to be a dirty clothes bag.
* A small Timex watch (an "el-cheapo" Ironman Triathlon model) with a Timex cloth strap; found in the hay at the Human Chain/Tire Pass-Through at Projectoree "A."

If you have any other items that you found (or lost), please notify me of that fact and I'll put it out on the e-net.

6) T-Shirts! - I have had several inquiries as to the availability of extra T-Shirts, plus other Troops have told me that they have extras. In order to formalize this, please let me know if you have any extra T-Shirts, or are looking to buy any more. I will try to coordinate re-distribution during the upcoming Projectoree Debriefing Meeting (tentatively Sunday, May 30th.)

Negative responses (by email) would be appreciated.

7) Photos! - As best as can be determined, approximately 17,000 rolls of film were exposed over the past two weekends. Based on a quick review of Troop 111's stack, we probably all have photos of Scouts in other Troops. If you could cull these out, we will attempt to re-distribute them to the appropriate Troops during the upcoming Projectoree Debriefing Meeting.

8) Equipment Returns - Many Projectoree "B" Troops borrowed items from Projectoree "A" Troops in order to run "B." If so, please return those items at your earliest opportunity - before the next crisis looms, and the Projectoree fades into distant memory. As mentioned above, I am willing to store items at my house if no other viable options are available.

9) Patrol Evaluations - Per my previous request, I would appreciate receiving Patrol evaluations via email at your earliest opportunity. About half the Patrols returned their evals at the Projectorees; everyone else promised to do so "later," but nothing has been received to date from either Projectoree. To my knowledge, the Projectoree is the only local Scouting event that requests customer feedback. ...and remember, this is yet another opportunity for Patrol team-building - don't squander it!

10) Final Patrol Standings - for each Projectoree - will be published in a separate newsletter.

11) Projectoree 2000 - I have already received a half-dozen inquiries about next year's Projectoree(s), including two from Troops that did not attend this year's versions (now THAT'S customer feedback!) There are many issues that need to be resolved - soon! - if we are to pull this off; this will be the subject of a separate newsletter.
