"A" vs "B" Staffing and Event Responsibilities

This information sheet was written to clearly state the relative responsibilities of the Troops participating in Projectoree "A" versus those participating in Projectoree "B." The intent is to preclude misunderstandings and ensure that everyone is working off the same page.

Projectoree "A"

It is the responsibility of each Troop in Projectoree "A" to acquire all the equipment and staff necessary to handle their: A) Projectoree Staff Jobs; B) Events; C) Late Afternoon Activities; D) Campfire Responsibilities; and E) Sunday Morning Cleanup Assignments. Each Troop has been assigned to most or all of the above tasks, and has also been given detailed instructions on how to do those tasks, either by handout at organizational meetings, email or website postings. Note that each event will require FOUR identical setups, each of which will need to be fully equipped and staffed.

It is also the responsibility of these Troops to coordinate their efforts with the Troops that are handling the same tasks in Projectoree "B." In particular, Projectoree "A" Troops MUST recruit at least one Senior Scout and one Adult from their corresponding Projectoree "B" partners who will come out during Projectoree "A" to act as staff, assist as needed, and learn how to do the activity. It is the responsibility of the Projectoree "B" Troops to provide these staffers. In this way, all of the Projectoree "B" Troops will have a core of trained people to run their activities the following weekend.

It is not necessary for the Projectoree "B" staffers to attend the entire Projectoree "A;" rather, they only need to come down for their activities, planning to arrive about a half hour beforehand, and leaving after the activity is finished and stored away. The schedule of events is on the Competition Schedule. Thus, depending on what you're doing, time frames are late Friday afternoon, Saturday morning, Saturday early afternoon, Saturday morning AND early afternoon, Saturday late afternoon, and Saturday evening. It is not necessary to come down for the Sunday morning Cleanup Assignments.

Finally, and in a new aspect of the Projectoree for 1999, the combined Projectoree "A" and "B" staffers on-site will need to either (A) Put away their event equipment somewhere at the Projectoree site for easy retrieval the following weekend (we have permission from the Park staff to do this); or (B) Pack and transport the equipment back to Arlington/McLean, and arrange a transfer during the intervening week to the Troop handling the same activity during Projectoree "B." Units who plan to leave their equipment on-site should have it well covered to protect it against weather during the week. Obviously, the site is only semi-secure (the gate will be locked, but there will only be a few, sporadic visits by the Ranger Staff during the week) - therefore, please do not leave anything of notable value on site. There is no guarantee of security!

Projectoree "B"

As noted above, it is the responsibility of each Troop in Projectoree "B" to provide at least one Senior Scout and one Adult staffer to those Troops who are handling their activities during Projectoree "A." Note that this means for EACH and ALL of the activities that they are assigned to handle, meaning you may have several teams who need to visit Projectoree "A" at some point.. These staffers will learn how to set up, run and (for events) score the activities during Projectoree "A," and will therefore be the primary staffers during Projectoree "B." These staffers will also help disassemble and either store or transport/transfer the activity equipment between the two Projectorees.

It is the responsibility of each Troop in Projectoree "A" to provide at least one Senior Scout and Adult Staffer to their corresponding partners in Projectoree "B" to help them set up, run and (for events) score the same activities they ran during the previous weekend. Again, it is NOT necessary for these staffers to attend the entire Projectoree "B," but rather just those time periods when "their" activities are being run.

If (and only if) after Projectoree "A" the Projectoree "B" Troop feels confident in their abilities to staff, run, score, disassemble and transport the activity equipment remaining after Projectoree "B" is completed, they may waive the requirement for their Projectoree "A" partners to provide staff assistance to Projectoree "B." It is anticipated that this will NOT be the case for most (and probably all) activities!

As with Projectoree "A," each Projectoree "B" Troop must be prepared to handle their: A) Projectoree Staff Jobs; B) Events; C) Late Afternoon Activities; D) Campfire Responsibilities; and E) Sunday Morning Cleanup Assignments. Again, each Projectoree "B" Troop has been assigned to most or all of the above tasks, and has also been given detailed instructions on how to do those tasks. Note that (at this time) each event will require FOUR identical setups, each of which will need to be fully equipped and staffed; it is possible that this will drop to three identical setups (Projectoree "B" is currently just above 18 Patrols), but at this point please plan on handling four setups.

At the end of Projectoree "B," it is the responsibility of the Projectoree "B" Troops (with help from any Projectoree "A" staffers who are present) to disassemble and transport the equipment from each activity back to McLean/Arlington, and also to later transfer it back to their Projectoree "A" partners who brought it down during the first weekend. Note that in some cases, this may require additional vehicles to handle the equipment. It is possible that the Projectoree "A" Troops will come down late Saturday or early Sunday to directly pick up their equipment (for example, Troop 111 will handle the Obstacle Course); this should be coordinated between partners prior to Projectoree "B."


All "partnered" Troops should maintain clear lines of communication in the weeks leading up to the Projectorees. Cooperation and communication are critical to success!!!
