Newsletter # 2, 10/6/99

Greetings to All.

1) This is a reminder that our first organizational meeting will be held this coming Sunday evening (October 10th) at the St. Agnes Parish Center, from 7pm to 9:30pm. The Parish Center is located at 1914 N. Randolph St., and is the building at the far southern end of the complex (that is, the end furthest from Old Lee Highway/closest to Washington-Lee High School); if you need directions, please email me. We will be meeting in the main hall on the ground floor. Please bring the forms enumerated in Newsletter #1 and your first payment check of $250, made out to Troop 111 and listing Philmont 2000 #1 in the memo section. IMPORTANT: Please be in the room by 6:55, as I will start the meeting at 7:00 sharp.

2) A number of families have inquired about an alternate date for the first meeting, because it falls on a Holiday weekend. I am therefore (reluctantly) scheduling a makeup meeting on Sunday, October 31st. Yes, that's Halloween. It's also the last free Sunday night I have between now and January (no, I'm not kidding.) IMPORTANT: If you will not make this Sunday's meeting, you *must* make the October 31st makeup meeting instead. ["Getting someone's notes from the meeting" is *not* an acceptable alternative to attendance.] IMPORTANT: You must also email me that you are selecting the alternate date, so that I know you're not dropping out. IMPORTANT: This *includes* those families who have already emailed me saying they can't make this Sunday's meeting (that is, you must email me again confirming that you *will* make the October 31st meeting instead.) IMPORTANT: All families making this alternate selection MUST mail me their $250 payment by this Friday, so I'll have it by the October 10th deadline.

We will establish the time of the October 31st meeting sometime during the week of October 25th. If we're lucky, everyone will either not care about Halloween or be able to make an afternoon meeting. We'll see.

3) One Scout on the Newsletter #1 List was terminated, and another voluntarily withdrew, leaving us with 26 Scouts. One Adult has voluntarily withdrawn, and another has indicated he is highly doubtful, leaving us with 9 interested Adults. Unfortunately, both of the Councils that are arriving on June 29th (i.e., some of the other "629" Contingents) have told Philmont that they will be using all their Crew slots. This was our best chance for a third crew. Other independent Crews' payments were due on October 1st, but Philmont will not bag anyone for lack of payment until November 1st. If anyone cancels their reservation, or fails to make their first payment, we will have a final chance for a third Crew. I am not optimistic. For now, however, everyone should proceed with the assumption that they will be attending, even though we have 6 Scouts and 5 Adults over our current reservation. I will not prioritize our selectees at this time. Obviously, if you are wavering, I would appreciate knowing sooner versus later.

4) Everyone receiving this Newsletter should take the time to re-read Newsletter #1 before coming to the meeting. See you Sunday night.

_____ Troop 111 Medical Form, Completed in Full, Signed and Dated

_____ Photocopy of Health Card, Front and Back Sides

_____ Signed Generalized Permission Slip for Philmont and all pre- and post- events

_____ Check for $250, made out to Troop 111 (except Daniel Ho. and Neal K.)

Please come to the meeting on time - slightly early (6:55) would be preferred. I WILL start the meeting on time!
